Below are suggested text & email templates you can use when responding to renter inquiries. 

🧠 To find a qualified renter quickly and start earning rental income

  • Respond ASAP. Renters are exploring many other rentals at the same time.

  • Use Text, Call, and Email. Each renter has a preferred method of communication.

We’ve created two different approaches. Feel free to use whichever fits your style best.

Option 1: Get Them to a Tour or Open House Quickly

Hi [First Name], I’m the owner of [Property Address]. We’re showing it on [Day, Time] — would you be able to make that? 

If not, please let me know 3 days and times that work for you this week.

Hi [First Name],

I’m the owner of [Property Address]. We’re showing the home on [Day, Time]. Would that work for you?

If not, please share 3 days and times this week that fit your schedule, and we’ll do our best to accommodate.

Option 2: Talk First, Then Schedule a Tour

Hi [First Name], I’m the owner of [Property Address].

Before we set up a tour, I’d like to connect briefly to learn more about what you’re looking for.

Do you have 5–10 minutes for a quick call today or tomorrow?

[Your Name]

Subject: Quick Call About [Property Address]

Hi [First Name],

I’m the owner of [Property Address]. Before scheduling a tour, I like to have a quick chat to better understand what you’re looking for and answer any initial questions.

Would you be available for a 5–10 minute call [suggest 2–3 options, e.g., “Tuesday at 5pm or Wednesday at noon”]? If neither works, let me know another time that’s convenient.

Pro Tip:

  • Option 1 works best if you want to move quickly and get people in the door.

  • Option 2 works best if you want to filter for serious renters and build rapport before committing to a tour.
